Developing a Training Schedule
Scheduling is the process by which inservice planners and designers make the leap from a completed training plan to the actual delivery of training. It operationalizes your training plan, down to the smallest detail.

1. List each training and evaluation activity in the planned order under 'Activity' column on the Scheduling Form. Refer to the completed Planning Worksheet for Training. Consider both the training activities and the evaluation activities and decide the most logical order for these to happen.
2. Identify any materials and/or equipment necessary to carry out each activity using the 'Materials/Equip Needed' column.
3. Determine the estimated time needed for each training and evaluation activity and enter the amount in the 'Time Required' column.
Do not forget about transition times and breaks.
4. Translate the time requirement blocks into specific hour/minute segments.
Ascertain how much time is available for the inservice, as well as start and stop times.
Determine whether you will have large blocks of time available or several shorter segments spread across several weeks.
Enter the hour-minute allocations in the 'Day/Hour' column.
5. Determine who will be conducting the inservice sessions and list, by name, the
assigned staff for each time block and activity under the 'Assigned Staff' column. Try to have at least two different staff involved for variety. Four is the maximum number suggested in order to maintain continuity and an even flow during the session.
6. Check your Schedule Form against the following criteria:
Each training activity can be accounted for in the schedule.
Each activity has been assigned a reasonable amount of time for completion.
There is a change in scheduled activities at least once each hour.
The scheduling format is clear and easy to follow.
The training schedule includes a means for indicating trainer responsibilities.
7. Make any needed adjustments to meet the criteria. Once you have finished the training schedule you will have a complete training plan for the training, follow-up and implementation of the XYZ Curriculum.
The Schedule and Staff Assignments form is an example of a schedule that shows training activities in a chronological order that is easy for staff to follow for each day of the session. Click the icon at left to view form in pdf format.
